1. Acceptance of Terms

By accessing or using AENTRA WorkForce Solutions ("the Service"), you agree to be bound by these Terms of Service. If you do not agree, you may not use the Service. These terms apply to all users, including employees, administrators, and organization owners.

2. Use of Service

AENTRA WorkForce is a workforce management platform designed for businesses to manage employees, timesheets, deliveries, invoicing, scheduling, equipment, and more. You agree to use the Service only for its intended purpose and in compliance with all applicable laws and regulations.

3. Account & Access

Your account is created and managed by your organization's administrator. You are responsible for:

  • Maintaining the security of your login credentials
  • All activity that occurs under your account
  • Notifying your administrator of any unauthorized access
  • Keeping your profile information accurate and up to date

4. Features & Modules

The Service includes the following modules, which may vary by organization configuration:

  • Timesheets: Submit, review, and approve work hours with photo documentation
  • Deliveries: Track and manage delivery records with before/after photos
  • Invoicing: Generate, send, and manage invoices and quotes
  • Scheduling: Create and manage work schedules and shift assignments
  • Equipment: Track equipment assignments, maintenance, and inventory
  • Payroll: Process payroll, manage pay rates, and generate pay stubs
  • Forms & FLRA: Create custom forms and field-level risk assessments

5. Data Ownership

Your organization retains ownership of all data entered into the Service. AENTRA does not claim ownership of your content. We process your data solely to provide and improve the Service as described in our Privacy Policy.

6. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose
  • Attempt to gain unauthorized access to other accounts or systems
  • Upload malicious content, viruses, or harmful code
  • Interfere with or disrupt the Service or its infrastructure
  • Share your account credentials with unauthorized individuals
  • Reverse-engineer, decompile, or disassemble any part of the Service

7. Service Availability

We strive to maintain high availability but do not guarantee uninterrupted access. The Service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control. We will make reasonable efforts to notify users of planned downtime.

8. Limitation of Liability

To the maximum extent permitted by law, AENTRA WorkForce Solutions shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service. Our total liability shall not exceed the amount paid by your organization for the Service in the twelve months preceding the claim.

9. Termination

Your organization's administrator may deactivate your account at any time. AENTRA reserves the right to suspend or terminate access to the Service for violations of these terms. Upon termination, your right to use the Service ceases immediately, though your organization may request an export of its data.

10. Changes to Terms

We may update these Terms of Service from time to time. Continued use of the Service after changes are posted constitutes acceptance of the updated terms. We will notify administrators of material changes via email or in-app notification.
